INTRODUCTION
STUDIO GENTILE has been a training organization since 2004. Its primary mission is to support companies in their language communication strategies. The organization has implemented a quality management system certified under ISO 9001:2015, which specifies the requirements an organization must meet to ensure services comply with both client expectations and legal/regulatory standards. The organization also complies with the French National Quality Standard (Qualiopi). Training sessions can be delivered: in-house (in-company training), in dedicated premises (inter-company training), or remotely (live online training via videoconference with an instructor).
These internal regulations apply to all individuals participating in training sessions organized by STUDIO GENTILE. Each trainee receives a copy of these regulations. The document defines hygiene and safety rules, general and permanent rules of conduct, the nature and scale of sanctions applicable in the event of breaches, and the procedures followed when a sanction is considered. All participants must comply with these rules throughout their training.
Risk prevention regarding accidents and illnesses is mandatory. Each participant must comply with: Hygiene and safety regulations applicable to the training premises, and any specific instructions from the training organization or the trainer, particularly concerning the use of equipment. Trainees are responsible for their own safety and that of others and must report any safety issues immediately. Failure to comply may result in disciplinary action.
Fire safety instructions, including a map showing fire extinguishers and emergency exits, are posted in training premises. Trainees must familiarize themselves with these instructions. In case of an alarm, trainees must stop all activities and follow the directions of authorized personnel calmly. In virtual classes, trainees must comply with fire safety rules of their current physical location.
The use or possession of drugs or alcoholic beverages is strictly forbidden on the premises. Trainees must not attend training under the influence of alcohol or drugs. Only non-alcoholic beverages are allowed during breaks. For virtual classes, it is also forbidden to attend while under the influence of substances. Trainers have the right to disconnect trainees and report inappropriate behavior to the employer, if applicable.
Smoking is strictly prohibited in training rooms and throughout the training venue. In virtual classes, smoking is not allowed while cameras are on.
In case of an accident occurring during training or commuting to/from the training site, the trainee or a witness must immediately notify the training organization. The appropriate steps will be taken, including notifying social security.
Article 7.1. – Training hours :
Trainees must adhere to the schedule provided. Non-compliance may lead to sanctions. Except for exceptional circumstances, no absences are allowed during training hours. For virtual classes, trainees are advised to:
Connect 15 minutes early to test audio and video,
Close unnecessary applications,
Sit in a quiet place with a stable surface, ensuring the face is visible on camera.
Article 7.2. – Absences, tardiness, early departures
In case of absence or delay, the trainee must notify the training provider and provide justification. Unjustified absences may result in sanctions. Publicly funded trainees may face wage deductions proportionate to the absence duration, per Article R6341-45 of the French Labour Code.
Article 7.3. – Attendance documentation
Trainees must sign attendance sheets during the training. At the end, they receive a certificate of completion and an attendance certificate for their employer or funder.
Unless explicitly authorized, trainees may not: Enter the premises for purposes unrelated to training, invite or allow unauthorized individuals, sell goods or services. In virtual classes, login information must not be shared.
Trainees must wear appropriate attire. In virtual sessions, attire must still be appropriate. Trainers may disconnect any trainee who does not comply.
Trainees must behave respectfully and courteously. This includes basic etiquette such as greeting others and speaking politely. In virtual classes: Microphones must be used only when speaking, cameras should remain on, respectful communication is expected. Active participation enhances the training experience.
Training materials must be used solely for training purposes. Personal use is prohibited. Trainees are responsible for maintaining equipment and following usage instructions.
Recording or reproducing training content is prohibited. All training materials are protected by copyright. Trainers will provide a course summary at the end for personal review purposes only. Unauthorized use of training content may result in legal action before the Commercial Court of Nice.
Any breach of these regulations may lead to sanctions such as: verbal warning, written warning, reprimand, temporary exclusion, permanent exclusion. Fines or monetary penalties are strictly prohibited.
Article 14.1. – Notification
No sanction may be imposed without first informing the trainee of the reasons. If immediate temporary exclusion is necessary, final sanctions cannot be applied until the trainee has been informed and given a chance to respond.
Article 14.2. – Hearing invitation
If a sanction is being considered, the trainee will be:
– Invited via registered mail or hand delivery with acknowledgment,
– Informed of the purpose, date, time, and place of the hearing,
– Allowed to be accompanied by a person of their choice (another trainee or staff member).
Article 14.3. – Assistance during the hearing
Au cours de l’entretien. Le stagiaire peut se faire assister par une personne de son choix, notamment le délégué du stage. Le directeur ou son représentant indique le motif de la sanction envisagée et recueille les explications du stagiaire.
Article 14.4. – Decision and notification
Sanctions are imposed no sooner than one full working day and no later than 15 days after the hearing. The decision is communicated in writing via registered mail or hand delivery.
